Completing the Vehicles Tab

When entering vehicles, you may enter vehicles manually one at a time, copy and paste multiple vehicles, or use the import feature to add vehicles in batches. Each route must include at least 1 (minimum) vehicle and you may enter up to 199 (maximum) vehicles.

Available Vehicles Tab Columns

Available columns are as follows (from left to right in the above image):

  • Name
  • Miles Per Gallon
  • Hourly Driver Pay
  • Start Location Name
  • End Location Name
  • Attributes
  • Driver Overtime Pay
  • Shift Time
  • Vehicle Activation Cost

Entering Vehicles Manually

Entering vehicles manually is often done when you have a small number of vehicles to enter in the Workbook Interface at a time.

How to Manually Enter a Vehicle:

  1. In the Vehicles Tab, click the cell under the Name column in Row 1.
  2. Enter the name you would like to assign to the vehicle.

    If you are a GPS Insight Standard, Pro, or Enterprise customer, you may wish to use the same vehicle labels assigned to your vehicles in the Portal for consistency and ease of use between the two products.

  3. Press the Tab key on your keyboard or click the cell under the Miles Per Gallon column in Row 1 to move to the next cell.
  4. Enter the miles per gallon for the vehicle.
  5. Press the Tab key on your keyboard, or click the cell under the Hourly Driver Pay column in Row 1, and enter the hourly pay for the driver who will be assigned to the vehicle.
  6. Press the Tab key on your keyboard, or click the cell under the Start Location Name column in Row 1, and use the drop-down window to select the stop location at which the vehicle will begin the route.

    The drop-down window is populated with the stop locations names from the Locations Tab.

  7. Press the Tab key on your keyboard, or click the cell under the End Location Name column in Row 1, and use the drop-down window to select the stop location at which the vehicle will end the route.

  8. Press the Tab key on your keyboard, or click the cell under the Attributes column in Row 1, and enter attributes specific to the vehicle.

    Attributes must be separated by commas (e.g., ladder, bike rack).

  9. Press the Tab key on your keyboard, or click the cell under the Driver Overtime Pay column in Row 1, and enter the overtime pay for the driver who will be assigned to the vehicle.
  10. Press the Tab key on your keyboard, or click the cell under the Shift Time column in Row 1, and enter the shift time for the driver who will be assigned to the vehicle in HH:MM format.
  11. Press the Tab key on your keyboard, or click the cell under the Vehicle Activation Cost column in Row 1, and enter the cost associated with using the vehicle for the route (separate from gas and driver pay costs).
  12. Repeat the process until all vehicles are entered.

    If you require additional rows, click on Add Rows in the top-left corner of the Workbook Interface.

Copying and Pasting Multiple Data Point Entries

You may copy one or more data points to enter into the cells under a column in the Vehicles Tab. Copying and pasting data points is typically done if you have a long list of data points (e.g., vehicle names, miles per gallon, driver pay, etc.) saved or compiled separately on your desktop (if you are not using the Workbook Interface Spreadsheet Template).

If you are copying and pasting data points for multiple columns, ensure that you are ordering your data points accurately so that the data corresponding to a vehicle is positioned in the row for the vehicle.

How to Copy and Paste Multiple Data Point Entries:

  1. Copy the data points you would like to paste into the Vehicles Tab.

    Data points must be line separated.

  2. Under the applicable column, click in the first available cell.
  3. Use the Paste Command on your keyboard to paste your data points.

    If you are unsure of the Paste command on your keyboard, right-click on your mouse to view instructions specific to your computer (the product detects whether you are using a PC or Mac).

  4. The data points are added to the Workbook Interface for your route.

Entering Vehicles in Batches

You may enter vehicles in a batch process by importing data from an edited Workbook Interface Spreadsheet Template. To use the import option, you are required to download, edit, and save the Workbook Interface Spreadsheet Template provided in the GPS Insight Route Optimizer Beta Menu.
